Managed Office + Badged Access: Illustrative Examples
← Back to Managed Office
What Is Included in the Illustration
- Managed devices: dedicated office laptops, desktops, tablets, and kiosks (Windows, Linux, Android, or macOS/iOS). User-owned phones and tablets used only occasionally are not counted unless specifically included by agreement.
- Black-box / cooperative devices: imaging systems, specialized clinical printers, and similar equipment monitored primarily for availability and coordinated with the manufacturer as needed.
- Badged Access one-time cost: proximity readers (including a spare allowance), badges, and implementation labor.
- Staff and stakeholder training: practical walkthroughs for end users and key stakeholders (for example office managers and clinical leads) so badge login, day-to-day workflows, and escalation paths are clear before go-live.
- Badged Access software: authentication platform (BAA-eligible tier), billed annually. The first year is paid with the project; the same annual amount continues in Year 2 and beyond.
- Efficiency reduction: once Badged Access is live, the Managed Office retainer is reduced by about 6% in these examples to reflect lower ongoing identity and access management effort.
Three Illustrative Offices
Managed Office (before badges)
≈ $1,550 / mo
Managed Office (after Badged Access)
≈ $1,457 / mo
Badged Access: one-time (hardware + implementation)
≈ $8,500 – $9,000
Badged Access software (Year 1 & ongoing annual)
≈ $2,000 – $2,600 / yr
(≈ $170 – $220 / mo)
Year-1 total (one-time + first year software)
≈ $10,500 – $11,600
Discovery: typically a short remote or on-site assessment to confirm scope.
Implementation window: often about 3–5 calendar days of focused work, sequenced around your staff availability. A significant share of configuration, monitoring setup, and identity work is done offsite; on-site time is used where presence at the devices or with staff is required.

How to Read These Examples
Each sample assumes a professional office (for example a dental or medical practice) of roughly similar complexity: Microsoft 365 already in use, shared passwords on clinical or shared stations, and a Business Associate Agreement for healthcare clients. User count is set at about 70% of the managed-device count. Black-box devices (imaging systems, specialized printers, and similar manufacturer-controlled equipment) are included at a similar percentage of the managed-device count and are priced for availability-style monitoring.
In these illustrations, Managed Office monthly pricing uses volume tiers on managed devices: $100 per device per month for the first 15 devices, $80 for devices 16–30, and $70 for each device above 30, plus $50 per black-box device per month. There is no separate per-user fee while users stay at or below the managed-device count.
Managed Office is the monthly retainer for ongoing device management, monitoring, network hygiene, Microsoft 365 and identity hygiene, support, and the compliance foundation. Most of that ongoing work happens behind the scenes (remote monitoring, patching, identity and license hygiene, and ticket triage), with on-site visits when hands-on work or staff collaboration is needed. Badged Access has a clear one-time cost (hardware and implementation) plus an annual software license. Once it is live, the Managed Office retainer is typically reduced by about 6% because identity and access friction decline.
What Affects Actual Pricing and Schedule
Final numbers and timelines move with the real environment. Common factors include:
- Actual device count, condition, and operating systems
- Servers, multi-site networking, or hybrid identity complexity
- How clean (or shared) the current login culture is
- Physical layout and any constraints on reader placement
- Availability of key staff for planning, enrollment, and testing
- Travel distance and after-hours or weekend constraints
- Depth of documentation needed for risk analysis and audits
- Whether Badged Access is done alone or with other identity work
- Current vendor software tiers and list pricing at quote time
