Roaring Fork Valley Tech LLC, doing business as Roaring Fork Valley IT (“RFVIT,” “we,” “us,” or “our”), respects your privacy. This Privacy Policy describes how we collect, use, and protect information when you visit rfvit.com, contact us by phone or text, or engage our services.

Our core commitment

We do not sell your personal or business data. We do not share customer or website-visitor information (including mobile phone numbers) with third parties or affiliates for marketing or promotional purposes. Sharing is limited to business operations and service delivery as described below (service providers who process data solely on our behalf, legal requirements, or with your direction for service-related needs).

Information we collect

Information you provide

• Contact and consultation requests: Name, email, phone number, organization, approximate number of users/devices, message content, and related details you submit via our contact form, email, phone, SMS/text, or booking tools.
• SMS / text messaging: Mobile phone numbers and related consent records when you opt in to receive text messages from RFVIT (for example, appointment reminders, support updates, or other service-related messages you request).
• Service engagement: Business contact details, technical environment information (e.g., devices, software, network inventory such as an Operations Atlas), access credentials you authorize us to use, and communications related to support and projects.
• HIPAA-related engagements: For dental and medical clients, information governed by a Business Associate Agreement (BAA) as required for protected health information (PHI) we may access in the course of providing IT services.

Information collected automatically

• Website usage: Standard server and browser information such as IP address, browser type, pages visited, and approximate location may be logged by our hosting provider for security and operations.
• Security checks: Our contact form uses Google reCAPTCHA to reduce spam and abuse. Google may process technical data under its own privacy terms when that check runs.

How we use information

Contact information (including phone numbers) is used to provide the services you request and to send communications you have opted into. Specifically, we use information to:

• Respond to inquiries and schedule consultations
• Deliver, support, and improve IT services you engage us to provide
• Send SMS/text messages you have opted in to receive (such as service updates, appointment or visit coordination, and operational notices)
• Maintain security, troubleshoot issues, and document your environment (including inventory such as Operations Atlas where applicable)
• Meet contractual and legal obligations, including HIPAA obligations under a BAA where applicable
• Communicate about service status, security notices, and operational matters

Phone numbers and SMS consent data are not sold. They are not shared with third parties or affiliates for marketing or promotional purposes. We do not use your data for third-party advertising, and we do not sell contact lists.

SMS / text messaging

RFVIT may send SMS (text) messages related to our services using our business phone number. Message frequency varies. Message and data rates may apply.

How consumer data is used for SMS. Contact information is used to provide requested services and to send opted-in SMS messages. Phone numbers and SMS consent data are not sold or shared except as needed to provide messaging services (for example, through our telephony/SMS provider) or to comply with law.

SMS opt-in data is protected. SMS opt-in data and related consumer personal information are not sold, shared, rented, or transferred to external organizations for their marketing or other independent use: even with user consent, except as required by law or as necessary for a messaging/telephony provider to deliver the messages you opted into on our behalf.

Mobile information is not shared for marketing. Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Any sharing of mobile information is limited to business operations and service delivery (such as delivering SMS through our provider, or meeting legal requirements).

Opt-out rights. You may opt out of SMS messages at any time. To stop SMS messages, reply STOP or UNSUBSCRIBE to any message from us. You may also contact us at help@rfvit.com or (970) 670-9726 to request removal from SMS communications. After opting out, you may still receive non-SMS communications related to services you have engaged (for example, email), unless you separately request otherwise.

Sharing of information

We share information only in these limited situations:

• Service providers acting on our behalf: Tools that help us operate and deliver services (e.g., form processing such as Formspree, Microsoft 365 / Bookings for scheduling and email, telephony/SMS providers such as Grasshopper, hosting providers). These providers process data for RFVIT’s business operations and service delivery only, not for their own marketing to you.
• With your express permission or direction: For example, coordinating with a vendor you choose or transferring information at your request for service-related purposes (not for third-party marketing).
• Legal and safety requirements: When required by law, regulation, legal process, or to protect rights, safety, or security.
• Business transfers: In the event of a merger, acquisition, or similar transaction, subject to appropriate confidentiality and continuity of this policy’s principles where practical.

We do not share customer data (including mobile numbers) with third parties or affiliates for marketing or promotional purposes. Mobile information sharing is limited to business operations and service delivery as described above.

Form submissions and third-party tools

• Contact form: Submissions are processed through Formspree and may be protected by Google reCAPTCHA.
• Scheduling: Consultation booking may use Microsoft Bookings / Outlook, subject to Microsoft’s terms and privacy practices.
• Email and collaboration: Operational email and related Microsoft 365 services as used in our business.
• Phone and SMS: Our business phone and SMS capabilities are provided through Grasshopper (and related telephony carriers). Message delivery and related technical processing occur through those providers solely to operate our phone and text communications.

Those providers process data under their own privacy policies. We select tools that support legitimate business operations and do not authorize them to sell your information or use mobile data for third-party marketing.

HIPAA and professional clients

For covered dental and medical clients, we execute a Business Associate Agreement and handle PHI in accordance with that agreement and applicable HIPAA requirements. We do not use PHI for purposes outside the services you authorize.

Data retention

We retain contact and service-related information, including SMS consent records: as long as needed to provide services, meet legal and contractual obligations, resolve disputes, and maintain appropriate business records. When information is no longer needed, we delete or de-identify it in the ordinary course of operations.

Security and safeguards against unauthorized sharing

We use reasonable administrative, technical, and physical safeguards appropriate to the nature of the information and our role as an IT services provider, including:

• Access controls: Limiting access to contact, SMS, and client information to personnel who need it for service delivery or operations
• Staff practices: Training and expectations that customer and mobile information is used only for authorized business purposes and is not shared for marketing
• Vendor restrictions: Using service providers under arrangements that limit processing to our operational and messaging needs, and not authorizing sale or marketing use of mobile data
• Technical measures: Standard protections for systems and accounts used to store or transmit business communications

No method of transmission or storage is completely secure; we work to reduce risk and respond to incidents in line with our professional obligations and any applicable BAA.

Your choices

• You may request access to or correction of contact information we hold about you by emailing help@rfvit.com.
• You may opt out of SMS messages at any time by replying STOP or UNSUBSCRIBE, or by contacting us as described in the SMS section above.
• You may opt out of non-essential marketing communications (we primarily send operational and service-related messages).
• You may decline to provide optional form fields; required fields are limited to what we need to respond or deliver service.

Children

Our website and services are directed to businesses and professionals, not to children under 13. We do not knowingly collect personal information from children.

Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the site or services after an update constitutes acceptance of the revised policy where permitted by law.
